Photo Magic is a registered trade name operated by Valor Group Media LLC d/b/a Photo Magic. References to “Photo Magic,” “we,” “us,” or “our” in this policy refer to Valor Group Media LLC and its Photo Magic operations.
Information we collect
Photo Magic may collect contact information, organization and event details, participant or subject information, roster data, order and delivery information, uploaded reference images, support requests, and communication preferences. Payment card details are entered directly through Square and are not stored by Photo Magic.
We may also collect limited technical information such as browser type, device information, IP address, cookies, page activity, and delivery or engagement events needed to secure and operate our services.
How we use information
We use information to plan and operate photo events, process and fulfill orders, match authorized photos to the correct customer or subject, provide digital delivery, administer client and staff portals, answer support requests, prevent misuse, keep operational records, and send communications a customer or organization has requested or authorized.
Service providers and information sharing
We may provide the minimum information needed to service providers that help us operate Photo Magic, including payment processing, cloud hosting, email delivery, text messaging, printing, shipping, security, and customer support. These providers may use the information only to perform services for Photo Magic or as required by law.
Mobile information, text-message opt-in data, and text-message consent are not sold or shared with third parties or affiliates for their own marketing or promotional purposes. We may disclose information when required by law, to protect customers and our services, or as part of a business transaction subject to appropriate safeguards.
Photos and information about minors
Photo Magic frequently works with organizations serving families. A parent, legal guardian, organization, or other authorized adult must provide or approve information and images involving a minor. Reference images are used only for authorized check-in, identification, matching, support, or delivery workflows and are protected by access controls appropriate to those workflows.
Retention and security
We retain information only as long as reasonably needed for event operations, fulfillment, support, accounting, legal obligations, and dispute prevention. We use administrative, technical, and physical safeguards designed to protect information, but no internet service can guarantee absolute security.
Your choices
You may unsubscribe from marketing email using the link in the message. For text messages, reply STOP to opt out or HELP for help. You may also contact us to ask about correcting or deleting information, subject to operational and legal retention requirements.
